A shared workspace has its own extra usage, separate from anyone's personal extra usage. It keeps people going once their seat's own daily or weekly usage runs out. The owner and admins manage it, and either of them can change what the other set.
To open it, go to the workspace's Workspace page, select Settings, then Extra usage.
Add funds
The owner and admins add funds on the web. Read Add funds. Purchases are listed under Purchases and gifts, and each one appears in the workspace's Activity.
Who can use it
Under Who can use extra usage, choose:
- Nobody: extra usage is off.
- Everyone: every member with a paid seat.
- Chosen members: only the members you turn on in the members list.
A member without a usable seat can't use AI at all, so they can't use extra usage either.
Caps
- Workspace monthly cap: the most the whole workspace spends in a month.
- Each member's monthly cap: the default for every member. Select Cap next to a member to give them their own.
- Premium seat cap and Max seat cap: optional caps for everyone on a seat of that kind.
Every cap starts at $0, so nothing is spent until you set one. Caps count only what was bought, and they start over on the 1st of each month. A member's own limit is the lower of their cap and their seat tier's cap. When a member reaches their cap, it shows in Activity, at most once a day.
Requests from members
When a member's extra usage is off or used up, the message in their chat offers Ask for extra usage. The owner and admins are told in their Inbox and by email, at most once a day for each member. The request shows under Requests for extra usage:
- Grant lets the member use extra usage. If extra usage was off, it turns on for chosen members, with that member included. A grant needs caps above $0. While the workspace monthly cap is $0, set it above $0 first. While the member's cap is $0, type a monthly cap for them next to Grant. While the cap for the member's seat tier is $0, raise that cap first.
- Decline closes the request. The member is told either way.
To stop members asking, turn off Requests from members.
Scheduled tasks
Scheduled tasks in the workspace don't use extra usage unless you turn on Let scheduled tasks use it.
Auto top-up
Auto top-up uses the billing owner's own saved card, and only the billing owner can turn it on or change its limits. Read Auto top-up.
What members see
Members see what is left, what they spent this month, whether they can use it and their own cap. They don't see other members' spending.
Deleting the workspace
Extra usage left in a workspace is lost when the workspace is deleted. The deletion review says how much.
