How do notices from assistants work in a workspace?

Ask your assistant to send a teammate, or everyone, a notice in their Inbox. Owners and admins choose who may send them.

In a shared workspace, you can ask Bluedeer to send a teammate a short notice, for example "let Sara know the report is ready". The notice lands in their Inbox with your name on it. Owners and admins can also ask Bluedeer to send one notice to everyone in the workspace.

Notices are for shared workspaces. Your Personal workspace has no teammates, so the only notices there are reminders to yourself.

Send a notice

Ask in a chat in the shared workspace, in your own words:

  • To one teammate: "Tell Omar the draft is ready." Name the person, or @mention them. If the name matches more than one person, Bluedeer asks you to choose.
  • To everyone: "Tell everyone the release is out." Only the owner and admins can do this.
  • About something: "Send Sara the Q3 plan." The notice then has a button that opens the file, page, chat, task or project.

Before it sends, Bluedeer may show an approval card in the chat:

  • A notice to one teammate is sent straight away, unless you chose to be asked.
  • A notice to everyone asks first, unless you chose otherwise.
  • The button on the card says Send notice.

To change this, open Settings, then AI & Chat, then Action confirmations. Under Teammates and sharing, find Notify a teammate and Notify everyone in the workspace. See What are action confirmations and approval cards?

If the notice points at something a teammate can't open yet, sending it also gives them Viewer access to it. Bluedeer asks first with a card, Share and send or Don't send, unless your Share with a teammate rule is Don't ask. If you choose Don't send, nothing is shared or sent. Only the people who get the notice get access. See Who can open the files Bluedeer makes, and how do I send one to a teammate?

Who may send what

A notice to everyone goes to every other member of the workspace. You don't get a copy.

There are limits, so notices can't flood people:

  • Your assistant can send up to 30 notices to teammates an hour in one workspace, and up to 30 an hour to the same person.
  • A workspace can send up to 30 notices to everyone a day, counting all senders together.

When a notice isn't sent, Bluedeer tells you why in the chat, for example that a limit was reached and when you can try again.

Where notices show

  • Inbox: every notice is kept in the recipient's Inbox, under Notices. It shows From and the sender's name, the time, and a button such as Open file, Open chat, Open task or Open project when it points at something. See Where do task results and notices appear?
  • Push: the notice is also pushed to the person's phone, unless they turned that off.

On the web, opening the Inbox marks what you see as read. On the phone, open Inbox from the account menu at the top right of Home.

Choose whether notices reach your phone

Every notice stays in your Inbox, whatever you choose. You only choose whether it is also pushed to your devices.

  • On the web: open Settings, then App & System. Under Notices from teammates, turn Push to my devices on or off. To stop the push from one workspace only, turn on Mute followed by its name.
  • On the phone: open Settings, then the App tab, and use the same switches under Notices from teammates. See What can I change in Settings on the phone?

Set the workspace's rules

Everyone in the workspace can see these settings. Only the owner and admins can change them. An admin needs a paid seat in the workspace to change them. The owner doesn't.

On the web:

  1. Select Workspace in the sidebar, then Settings.
  2. On the General tab, find Notices from assistants.

On the phone:

  1. On the home screen, tap the button at the top right, then Manage workspace.
  2. On the General tab, under Rules, tap Notices from assistants.

There are two settings:

  • Assistants may notify members. On by default. Turning it off asks you to confirm. When it's off, no assistant in the workspace can notify another member or everyone, and sharing a file or chat with a teammate no longer tells them. Reminders to oneself and scheduled task results are not affected.
  • Who can send a notice to everyone. Choose The owner and admins (the default) or Nobody. With Nobody, notices go to one person at a time only. You can only change this while Assistants may notify members is on.
