A task is work that Bluedeer runs for you on a schedule. You create one by asking the assistant in a chat (see How do I schedule a task?). In the app you look after it from the Tasks screen. The rules are the same as on the web, so How do I run, pause, edit or cancel a task? explains what each setting means. This article shows where things are on the phone and what the app says.
See your tasks
Tap See all on the Tasks card on Home to open the Tasks screen. It lists the tasks in the workspace you have selected, under Scheduled with the number of tasks. Each row shows the task's name, its status (active, paused, completed, failed or cancelled), its schedule, its tool-call limit for a run and its next run. If you have no tasks yet, the screen says "No tasks yet." and suggests asking the assistant to schedule something. When there are more tasks than fit on the screen, tap Show more at the bottom of the list.
Tap a row to open the task. You can also open a task from its finished run on Home, or from a notice in the Inbox.
Open a task
A task has two tabs at the top:
- Overview shows what the task does, its next run, its settings and its latest run.
- Outputs & history shows what its runs made and a list of every run.
Pull down on either tab to refresh the task.
Run, pause, resume and edit
On Overview, the buttons sit under Next run. Which ones you see depends on the task's status:
- Run now starts a run straight away. A message says "A new run was queued for this task."
- Pause stops the task running on its schedule. It shows while the task is active.
- Resume starts a paused task again on its saved schedule. It shows while the task is paused.
- Edit opens the Edit task screen. It shows for active, paused, completed and failed tasks.
A completed or failed task still shows Run now and Edit. A cancelled task shows no buttons. In a shared workspace, only the person who created a task sees these buttons. Anyone else sees the note "Only the person who created this can change it."
If a task needs permission to resume
Some tasks cannot run on their own until you allow certain actions. When you tap Resume and the task needs that, a card called This task needs permission opens. It lists the actions the task needs. Any step that cannot be allowed here is listed under These steps will be skipped and reported, and the task will skip it and say so in its run.
- Tap Allow all to allow the listed actions for this task. If nothing on the card can be allowed, the button reads Resume anyway.
- Tap Cancel to change nothing. The task stays paused.
When the card can allow something, it also has a switch called Also don't ask in chats. Turn it on to set your own rule for these actions to Don't ask, as in Settings, AI & Chat, Action confirmations. Leave it off and the task is allowed these actions only for itself. In chats you are still asked.
Edit a task
Tap Edit to open the Edit task screen. Tap Save at the top right to keep your changes, or Cancel to leave without saving. Save stays off until you change something.
The fields are the same as on the web. On the phone:
- Name and Instructions are text boxes.
- Schedule has three choices, Once, Cron and Interval. Fill in the boxes that appear for the choice you pick. Type dates and times in the format the box shows. An interval must be at least 300 seconds, which is 5 minutes. If you are not sure what to type, ask the assistant in a chat to change the schedule for you.
- Completion notifications are Always, On change or Never.
- Notify on failure is a switch.
- Results also go to appears for tasks in a shared workspace. It has one switch for each teammate. See Results also go to below.
- Tool calls per run (optional) can be left empty. The screen then uses your plan's limit, or your seat's limit in a shared workspace, and shows the limit that applies now.
If a change lets the task do something it could not do before, the This task needs permission card appears before anything is saved. Tap Allow all to save with those permissions, or Save anyway if nothing on the card can be allowed. Tap Cancel to keep the old settings. If the change also shares results with teammates, the button reads Allow all and share or Share and save instead.
Results also go to
In a shared workspace, the Results also go to section on Overview lists the teammates who receive the task's results. Each one shows one of two states:
- Can open results: you have approved them.
- Not approved: gets nothing: until you approve, runs send them nothing.
Tap Approve sharing to approve them. Approval gives the teammate access to the task and to the files its runs make, so you only need to do it once for each person. In the Edit task screen, the switch for each teammate does the same. You can send results to up to 10 people. A teammate who has left the workspace stays listed as A former member until you take them off, and gets nothing in the meantime.
Cancel a task
Cancelling stops a task for good. You can cancel a task that is active or paused. Its runs and results stay in its history afterwards.
- On Overview, open Task details at the bottom and tap Cancel task. The alert says "This task will stop running. This cannot be undone." Tap Yes, Cancel to confirm, or No to keep the task.
- On the Tasks screen, tap the close icon on the right of an active or paused task's row. The alert is titled Cancel Task and asks whether to cancel that task by name. Tap Yes, Cancel to confirm, or No to keep it.
Allowed to run on its own
Allowed to run on its own lists the actions the task may do without asking, such as sending an email, with the day each one was allowed. To take one back, tap Remove next to it, then Remove in the alert. From its next run the task skips that action and asks for permission in your Inbox instead. The section says "Nothing yet." when the task has no such actions.
Outputs & history
Outputs & history has two parts.
- Task outputs shows what completed runs made, under What changed and Files. Tap a file to open it. Tap Newer or Older to move between runs. Run details shows when a run was scheduled and, if it made any, its Structured outputs.
- Run history lists every run with its status: Queued, Running, Succeeded, Failed, Cancelled or Limit reached. Tap a run to see its start and finish times, how many tool calls it used out of its limit, its time limit and its summary. A step the run was not allowed to take on its own shows as "Skipped:" with the reason, for example "Skipped: Send email. It asks before it runs." Tap Newer or Older to page through the runs.
What is in a task's results and run history? explains what each status and figure means.
If runs fail one after another, the Overview tab shows how many have failed in a row. Why did my task stop after it failed? explains what that count means. The notices you get for failures and finished runs are explained in Notifications on the phone and Where do task results and notices appear?.
If something goes wrong
If the task cannot be loaded, the screen says "Couldn't load task" and offers Retry and Back. If an action fails, such as pausing or running the task, an alert gives the reason. Check your connection and try again. If you have no seat in the workspace you are in, the screen shows a banner in place of the buttons. See What does the app show when I have no seat in a workspace?
