Catch up is a screen for a shared workspace. When scheduled tasks in the workspace are running or coming up, it lists them under Pending tasks. When none are, it lists what has changed since you last opened it. It is only in shared workspaces, not in your Personal workspace.
The rules behind the list are the same on the web. What the Workspace overview shows and the catch-up panel explains what counts, how far back it looks and the limits. This article covers the phone screen.
Open Catch up
- Switch to the shared workspace. Tap its name at the top left of Home.
- Tap the account button at the top right of Home, then tap Manage workspace.
- On the General tab, under Today, tap Catch up.
The screen opens with the heading While you were away.
If you open Catch up while your Personal workspace is selected, the screen says "Catch up is for shared workspaces."
Pending tasks
When a scheduled task in the workspace is running or has a next run coming up, the screen shows Pending tasks. The line under the heading counts them, for example "2 scheduled tasks are running or coming up".
Each task has its name and one of these lines:
- Running now, for a task that is running or queued.
- Next run in 45m or Next run in 3h, for a task due within a day. Next run in 2d for a task due within a week.
- Next run on, followed by the date, for a task due more than a week away.
- Next run soon, for a task due less than a minute away.
Tap a task to open its page. Tap All tasks to open the full list of tasks.
When there are pending tasks, the screen shows only this list.
What has changed
When nothing is pending, the screen shows Catch up as its section. Its line under the heading says where the list starts:
- Since your last visit and how long ago, if you have opened Catch up in this workspace on this phone before.
- From the past week, the first time you open it in this workspace on this phone.
Each line shows how long ago it happened. The newest come first, up to eight.
- Task runs. A line such as "Weekly report ran · Succeeded", with the run's summary if it has one. The status can be Queued, Running, Succeeded, Failed, Cancelled or Limit reached. Tap the line to open the task.
- Workspace changes, such as a setting being changed or a member's role. Only the owner and admins see these. Members see only task runs. The full log is in See a workspace's activity.
Your last visit is saved on this phone only, for you in this workspace. Each time you open Catch up, that visit is recorded. The web app and another phone do not see it.
You're all caught up
If nothing is pending and nothing has changed since your last visit, the screen says You're all caught up. It also says that no tasks are scheduled, and suggests asking your assistant in a chat to schedule work for the workspace. To schedule a task yourself, see How do I schedule a task?
If something does not load
- If tasks cannot be loaded, the screen says Couldn't load tasks. Tap Try again.
- If the owner or an admin sees a problem with the list of changes, the screen says "Recent activity couldn't be loaded. Task runs are still shown."
