Overview is the first section of the Workspace page. Everyone in a shared workspace can open it, whatever their role. Owners and admins see more panels on it than members do. Each panel shows only what your role allows, so a missing panel does not mean something is broken. See Roles in a workspace for what each role can do.
Under the workspace name you see a status line. It reads Active workspace · created and how long ago it was made. If the workspace is not active, it reads This workspace is inactive. If you do not hold a usable seat, a banner at the top of every section explains why. See What a member without a seat can do.
The four numbers at the top
Each number is a button. Select it to open the section it counts.
| Box | Who sees it | What it counts | Opens |
|---|---|---|---|
| Members | Everyone | The people in the workspace. | Members |
| Seats assigned | Owner and admins | Seats that are paid for and still running, shown as "assigned / total". A seat that has run out is not counted at all. | Seats |
| Pending invites | Owner and admins | Invitations that are waiting for an answer. | Invites |
| Scheduled tasks | Everyone | Tasks in this workspace that are running right now, or are active and have a next run time. These are the same tasks listed under Pending tasks (see below). | The Tasks page |
Under the Seats panel, a bar shows how many usable seats are assigned. The line above it reads "assigned of total", with "available" added when some seats are free. A line underneath lists each plan the workspace has seats for, with how many of them are assigned, for example "2 of 3 Premium". Seats are bought and assigned by the owner. See Buy and assign seats.
The panels on the right
- Needs attention (owner and admins). Despite its name, this panel lists only pending invitations. It shows up to three, with the email address, the role and when the invitation expires, for example "Expires in 3 days". When none is waiting it says You're all caught up. Invites opens the full list. See Invite people to a workspace.
- People (everyone). Up to four people, owners first, then admins, then members. Your own row says You. If there are more, the panel ends with a line such as "+3 more", and Members opens the full list.
- Seats (owner and admins). The seat bar described above. The button says Manage for the owner, who can change seats, and View for admins, who can only look. If the workspace has no active seats, the panel says so. Only then does the owner see an Add seats button. Anyone else is asked to ask the owner.
- Workspace files (everyone). A shortcut to the files in the workspace.
Recent activity
Owner and admins see the Recent activity panel, below the catch-up panel. It shows the five latest lines from Activity, and See all opens the whole list. Each line says who did what. See See a workspace's activity. When nothing has happened yet, it says Quiet for now.
Pending tasks or catch up
The panel at the top left shows one of two things. You never see both at once.
Pending tasks appears when at least one task in the workspace is running now, or is active and has a next run time. It lists up to five of them. Tasks that are running now come first, marked Running now. The others follow, soonest first, each marked Next run with its time. Select a task to open it. All tasks opens the Tasks page. The description above the list gives the total, for example "2 scheduled tasks are running or coming up". Paused, finished and cancelled tasks are not listed. See How do I run, pause, edit or cancel a task?.
Catch up appears when no task is pending. It lists what happened since you last opened the Overview:
- Task runs. The task's name, how its last run went (for example Succeeded, Failed, Cancelled or Limit reached), its summary if it has one, and when it ran. A task that ran several times since your last visit shows only its latest run.
- Team events, such as a member being invited or a seat being assigned. Only owners and admins see these lines. Members see only task runs. The catch-up looks at the 50 most recent activity lines, so on a busy workspace some older events in that period may not appear.
The newest updates come first, and the list holds up to eight. The panel's description says where it starts from:
- Since your last visit followed by how long ago, when your last visit is known.
- From the past week when it is not. This happens the first time you open the Overview, on another device, and in a browser that does not keep site data.
Your last visit is saved in the browser you are using, separately for each person and each workspace. It is updated every time you open the Overview. It is not saved to your account, so a new device or cleared browser data starts the catch-up from the past week again.
When there is nothing new, the panel says You're all caught up. Its hint says no tasks are scheduled, and suggests asking your assistant in a chat to schedule work for the workspace.
On the phone, the same catch-up is a separate screen. See What is Catch up in a shared workspace, and how do I use it on the phone?
If a panel shows an error
If a panel cannot load its information, it says so, for example Couldn't load members, and shows a Retry button. The rest of the page still works. Panels fill in as their information loads, so a number may show a loading line for a moment after you open the page.
