Files Bluedeer makes are private to you
When Bluedeer makes a file for you (a document, a page, a spreadsheet export, a saved image, chart, diagram or presentation, or an email attachment it saves), the file's general access is Only you, the same choice as in the file's Share window. Nobody else in the workspace can open it until you share it.
This holds inside a project too: a file Bluedeer makes in a project's chat is filed in the project, but it doesn't take the project's visibility on its own. It stays Only you unless you ask for something else.
Asking for something else
Say who should be able to open the file when you ask for it, for example "make a report and share it with everyone at Acme" or "make it so editors can change it". In a shared workspace Bluedeer can choose:
- Only you: the default.
- Anyone at followed by your workspace's name, such as Anyone at Acme, as Viewer or Editor.
- Follow the project: in a project's chat, the file takes the project's visibility and changes when the project's does.
Whenever a file isn't Only you, Bluedeer tells you who can open it. You can also ask Bluedeer to change who can open a file you created ("make that file private again"); only the person who created a file can change it. In a personal workspace nobody else can open your files, so they are always Only you.
Sending a teammate a file, page, chat, task or project
Ask Bluedeer to send it, for example "send Sara the Q3 report" or "tell everyone about this chat". The notice Bluedeer sends opens the item directly from the Inbox, on the web and on the phone.
If the person can already open the item, the notice is sent as usual: a plain notice to one teammate doesn't ask first, unless you chose Ask first for Notify a teammate in Settings, under AI & Chat, in Action confirmations.
If they can't open it yet, sending the notice would give them access, so it follows your Share with a teammate rule. While that is Ask first (it starts there), Bluedeer asks you first with a card in the chat, for example: "Sending this to Sara gives them Viewer access to “Q3 plan”." The card shows the notice too.
- Share and send shares the item with them the same way the Share window does: they are added to the people with access as a Viewer, and the share is recorded in the workspace's activity. A private chat or task becomes shared with just those people. Nothing becomes visible to the rest of the workspace. Then the notice is sent.
- Don't send shares nothing and sends nothing. Bluedeer doesn't send the notice another way instead, such as without the link.
This card follows Share with a teammate, whatever you chose for Notify a teammate. To stop being asked, tick Don't ask again on the card before you choose Share and send, or set Share with a teammate to Don't ask in Settings → AI & Chat → Action confirmations, under Teammates and sharing (the same on the phone). Then Bluedeer shares and sends without the card and tells you who can open the item now. You can change it back there.
Asking Bluedeer to share a file or a chat with a teammate (rather than sending a notice about it) follows the same rule: while Share with a teammate is Ask first, Bluedeer shows a card first, and its Don't ask again sets the rule to Don't ask. All unsafe actions and a chat's own rules apply to it like any other rule.
Bluedeer doesn't send a link the person can't open. It tells you why and asks what to do instead when:
- someone else created the item, because only the person who created something can share it;
- the workspace lets only its owner and admins share;
- it's a project that is Only me: a project opens for its creator or for everyone in the workspace, never for one person, so change its visibility first;
- the person has no seat in the workspace.
Scheduled tasks that notify teammates
Sending a task's results to a teammate gives them Viewer access to the task and to the files its runs make. So when you ask Bluedeer to set up a task that notifies teammates, or to add teammates to one, the card that confirms the task also says who would get access, and the task is saved only when you approve. You're asked once per teammate: later runs give them access and send them the result without asking again.
A run never gives access to anyone you didn't approve. If a teammate on the task hasn't been approved (unless Share with a teammate is set to Don't ask), the run shares nothing with them and sends them nothing, not even that the task ran, and you get an item in your Inbox saying who it skipped. Open the task and choose Approve sharing under Results also go to to approve them.
If the workspace lets only its owner and admins share, an approved teammate who still can't open the task is told only that it finished.
