Why an invitation expires or is refused

How long an invitation lasts, which addresses can't be invited, how many invitations you can send, and what the messages you see mean.

When you invite someone, Bluedeer checks a few things first. If one of them fails, nothing is sent and no seat is held. This article explains each check and the message you see. For the steps themselves, see Invite people to a workspace.

How long an invitation lasts

An invitation is valid for 7 days from the moment it is sent. The email says "This link expires in 7 days."

When the 7 days are up, the link stops working and the seat the invitation was holding is released. The web's Seat list may still show that seat as held until Bluedeer's daily clean-up runs, and Pending invitations may show the invitation as Expired for up to a day. Both are only display. If the person opens the link after the 7 days, the web shows: "This invitation has expired. Ask the workspace's owner or an admin to send you a new one." The phone app says: "This invitation can no longer be used. It expired, was cancelled by the workspace, or was already used." To let them join, send a new invitation.

An invitation also stops working before that when you revoke it, or when the person declines it. For how to revoke one, see Invite people to a workspace.

Addresses that are refused

Bluedeer refuses temporary email addresses, meaning addresses from disposable email services. The message appears under the Email box: "Temporary email addresses can't be invited. Use the person's permanent address." Ask the person for an address they check every day, such as a work address or one from a regular email provider.

Refused addresses are not counted against your sending limits, and nothing is sent to them.

Someone who is already in the workspace

If the address belongs to someone who is already an active member, the message under the Email box says: " is already a member of this workspace." Nothing is sent and no seat is held. There is nothing to accept, so you don't need to invite them.

Someone whose access was removed is no longer a member, and can be invited again.

Sending the same person a second invitation

If the address already has a pending invitation, Bluedeer does not send a second email. The first invitation stays valid, and no extra seat is held. The role and seat you picked this time are not applied; the first invitation keeps its own. On the web, the panel still says "Invitation sent to" the address. If you need the person to have a fresh 7 days, or a different role or seat, revoke the old invitation first, then send a new one.

How many invitations you can send

To stop invitation emails being sent in bulk, Bluedeer limits how many you can send:

  • Per workspace: 30 an hour and 100 a day. This is shared by everyone who invites people into the workspace.
  • Per person sending: 20 an hour and 60 a day. Each owner and admin has their own.

A send counts once it reserves a seat, including sending again after you revoked an invitation. Sends that are refused (no seat free, a temporary address, someone already a member) and repeat sends to an address that already has an invitation do not count.

If you hit a limit, the panel says: "Too many invites were sent recently. Try again later." Wait a while, then try again. If Bluedeer can't check the limits at the moment, the panel says: "Invites can't be sent right now. Try again shortly."

When no seat is free

Each invitation holds one available seat for the person you invite, and they take that seat when they accept. If no seat is free, the Seat list says No available seat and Send invite stays off. The panel then tells you to add seats under Seats, or to revoke an invitation you no longer need.

If the last free seat is taken between choosing it and sending, the send is refused with: "Every seat in this workspace is taken. Add seats, then send the invitation." If the seat you chose was taken or held a moment earlier, the panel says "That seat is taken. Choose an available seat, or add seats." or "That seat is held for a pending invitation. Choose another seat."

Admins

Admins can invite members only. The owner invites admins and cancels admin invitations. See Roles in a workspace.

On the phone

The phone app's invite screen goes through the same checks and limits, because Bluedeer applies them to every invitation. A refused invitation shows the same message in an alert titled "Couldn't send invite".
