Change a member's role in a workspace

How the owner makes someone an admin or a member, what admins can and cannot do about roles, and why the owner's role never changes here.

Only the owner can change someone's role in a workspace. The owner can make a member an admin, or turn an admin back into a member. Nobody else can change a role, and the owner's own role can only change by handing the workspace to someone else. For what each role can do, see Roles in a workspace.

Changing a role does not change the person's seat. They keep the seat they hold, with its limits.

Change a role on the web

  1. Open the Workspace page and select Members.
  2. Find the person. Beside each admin or member (except yourself) is a drop-down that shows their current role, Admin or Member.
  3. Open the drop-down and choose the role you want.

The change is saved as soon as you choose it. There is no confirmation step. If it could not be saved, the page shows "Couldn't change the role."

Change a role on the phone

  1. Open Manage workspace, then tap the Members tab.
  2. Tap the role button beside the person. It shows their current role with a small arrow.
  3. In the menu, tap Admin or Member. The role you already have has a tick beside it.

The change is saved straight away. The same menu has Remove from workspace for people you are allowed to remove. See Buy and assign seats for how removing someone works.

What admins can and cannot do

Admins cannot change anyone's role. On the web, each person's role appears as plain text. On the phone, an admin's menu offers only Remove from workspace, with no role choices. So an admin cannot:

  • make someone an admin;
  • make an admin a member;
  • change their own role.

Admins can remove members, but never an admin or the owner. Only the owner can remove an admin. An admin can remove a member only while the admin holds a seat that works.

Members can open the Members list and see everyone's role, but they see no role controls at all.

Rows you cannot change

  • The owner. The owner's row shows Owner with no menu or drop-down. The owner's role moves only through a transfer of ownership. See Transfer workspace ownership.
  • Your own row. You cannot change your own role, even as the owner.
  • Admins, for anyone but the owner. Only the owner can change an admin's role.

Where the change shows

Every role change is written to the workspace's Activity list, which owners and admins can read. Bluedeer does not send the person an email or an Inbox notice about the change, so tell them yourself if they need to know.
