Use this page when you want to take back access you have already given. Pick the section for what you shared. The steps for creating and sending links are in How do I share a chat?, How do I share a file? and How do I share a chat from the phone?.
Stopping access does not undo what people already have. Read “What revoking cannot undo” at the end of this page before you rely on it.
Stop a chat link
On the web:
- Open the chat and click Share conversation in the top bar. You can also use the more actions button on the chat's row in the sidebar and choose Share….
- Under Existing links, find the link.
- Click Revoke. In the "Revoke this link?" prompt, click Revoke again to confirm, or Keep to leave the link as it is.
On the phone:
- Open the chat's share menu. For a whole chat, open the chat's menu in the chat drawer and tap Share. For a chat up to one reply, tap the ellipsis under that reply.
- In the list of links you have made, tap the red revoke button next to the link. Its screen-reader label is "Revoke live public link" or "Revoke snapshot public link".
The phone does not ask you to confirm. The link stops at once, and the app says "Chat link revoked".
Revoking a chat link stops it for everyone. Anyone who opens the old address after that sees that the link no longer works. A snapshot link also loses the frozen copy of the chat it showed.
To narrow who can open a link without stopping it, use Edit access on the web or the edit button on the phone instead.
Stop a file link, or take back a snapshot
In a shared workspace, only the person who created a file can change who can open it or create its links. See How do I share a file?.
On the web, open the file's Share window from the File manager:
- To stop the link for anyone, set General access to Only you (or Only people invited if you have invited someone). Switching away from Anyone with the link turns that link off.
- To stop a snapshot link or a link for invited people, find it under Snapshot links (or Other links). Click Revoke, then Revoke in the "Revoke this link?" prompt. Click Keep to leave it.
On the phone, open the file's Share window, choose the same general access options, and under Snapshot links or Other links tap Revoke. Then tap Revoke under "Revoke this link?", or Keep to leave it.
Remove a person or a guest
Use this to stop one person's access while leaving the file or the other people's access as it is.
- A workspace member: in People with access, open their role menu and choose Remove access. On the phone, use the Role for menu next to their name.
- A guest (someone outside the workspace who you invited by email): open their menu under People with access and choose Remove access. Guests can only view, so there is no role to change. You can invite them again later if you want to.
Removing a guest takes them off every link made for invited people. If that leaves a link with nobody on it, the link is revoked too.
To change a member's role instead, open their role menu and choose Editor or Viewer. An editor can change the file, and a viewer can only open and download it.
What revoking cannot undo
- An exported Markdown copy cannot be recalled. Exporting a chat as a Markdown file saves a copy to your computer. Revoking a link does not touch that file. Once it has been downloaded, the person who has it can keep it or pass it on. See How do I share a chat as plain Markdown text?.
- Files people already downloaded stay with them. The same is true of any copy someone has made, including a private copy they made with Continue in chat.
If a file should not exist at all any more, delete it. See Rename, move or delete a file.
