How do I share a file?

Share a file from the File manager by choosing who in the team can open it, then creating a Live or Snapshot link with an optional expiry.

These steps are for the web app.

Open the sharing settings

  1. In the File manager, open the file's menu and choose Share.
  2. The Access & public links window opens. Workspace access and public links are separate settings.

Workspace access

Under Workspace access, choose who can find and open the file:

  • Only me: just you. Not even team admins can read it.
  • Specific people: the people you add by email. For each one, choose Can read or Can edit.
  • Everyone in team: every active member of the team.

Under Public links:

  1. Choose a Link type. A Live link follows future versions of the file. A Snapshot link freezes the version you have now.
  2. Choose Who can open it: Public, Workspace (team workspaces only) or Specific people.
  3. Choose an expiry if you want the link to stop working on a date.
  4. Create the link. Existing links are listed below, where you can copy, change or revoke them.

Anyone allowed by a link can read the file until you revoke the link.

Who can share a team file

In a team workspace, members can share only the files they created. Team admins and the owner can manage the sharing of any file.

For how to change a file itself, see Rename, move or delete a file.
