# How do I manage a shared workspace from the phone?

Where each Manage workspace screen is in the Bluedeer app for a shared workspace, who can change it, and which web article has the full details.

On the phone, a shared workspace is run from **Manage workspace**. Tap the account button at the top right of Home, then tap **Manage workspace**. Make sure the shared workspace is the one you are in. Tap the workspace name at the top left of Home to switch if it is not.

**Manage workspace** has four tabs for a shared workspace: **General**, **Members**, **Connections** and **Usage**. Each row below says who can change it. A row that doesn't apply to your role is hidden. For example, admins don't see **Verified domains**. A screen you can open but not change says "Only the owner and admins can change these settings." For what each role can do in total, read [Roles in a workspace](https://support.bluedeer.ai/team/members-and-seats/roles-in-a-team.md).

Admins need a seat that works before they can change settings, invite people or remove members. The owner never needs a seat for these.

## Who can change what

| Emails | **General**, under **Emails** | Everyone can read it. Essential emails are always sent. |
| Members and roles | **Members** | Owner and admins can invite and remove members. Only the owner changes roles. |

## Sharing

Open **General**, then tap **Sharing**. It has the link switches and the choice of who can create share links. Turning a switch off asks you first and explains what happens to the links already shared. Full details: [Set workspace share link rules](https://support.bluedeer.ai/team/administration/team-share-link-rules.md).

## Notices from assistants

Open **General**, then tap **Notices from assistants**. The main switch is **Assistants may notify members**. Turning it off asks you first, and stops every assistant in the workspace from notifying a member or everyone. Full details: [How do notices from assistants work in a workspace?](https://support.bluedeer.ai/team/administration/assistant-notices.md).

## Verified domains

Only the owner sees this row. Open **General**, then tap **Verified domains**. Type the domain, tap **Add domain**, copy the TXT record with **Copy record**, and add it to the domain itself (not a subdomain) where you manage its DNS. Then tap **Check now**. Removing a domain asks you to confirm. Full details: [Verify a domain for your workspace](https://support.bluedeer.ai/team/administration/verified-domains.md).

## Emails

Open **General**, then tap **Emails**. It lists the essential emails this workspace sends you, such as emails about changes to its AI provider key. These are always sent. Product news and scheduled task results are set for your whole account in **Settings**, under **Account**, then **Emails**.

## Workspace memory

Open **General**, then tap **Memory** under **Assistant**. It lists what Bluedeer has learned about you in this workspace. Memory is kept for each workspace, so it is different from your personal workspace. You can correct or delete the memories you made. If someone else made a memory, the screen says that only its creator can change it.

## AI provider key

Open **Usage**, then tap **AI provider key** under **Paying for AI**. The owner and admins can connect the workspace's own OpenRouter key, so its AI usage is billed to that account. To connect one, tap **Sign in with OpenRouter**, or paste a key and tap **Save key**. Bluedeer checks the key before it saves it. Removing the key does not revoke it at OpenRouter, so delete it there too if you no longer need it. Full details: [Can I use my own AI provider key?](https://support.bluedeer.ai/plans-and-billing/general/use-your-own-ai-provider-key.md).

## Connectors and Integrations

Both are in **Connections**.

- **Custom connectors.** The owner or an admin must first turn on **Custom connectors**. They do this under **Integrations**, at the bottom of **Connections**. Until they do, the screen says "Custom connectors are turned off in this workspace". Once it is on, each person taps **Add connector** under **Your connectors** and adds their own. Nobody else in the workspace can see or use them, and you can add up to 20 in each workspace. You need a seat that works in the workspace, but you don't need a plan of your own.
- **Integrations.** The owner and admins choose which built-in apps the workspace can use. Turning one off signs everyone out of it. Turning off **Custom connectors** removes every connector people added in the workspace, so check with your team first.

Full details: [Add and manage custom connectors on the phone](https://support.bluedeer.ai/mobile/general/manage-connectors-on-the-phone.md) and [Turn built-in services and custom connectors on or off for a workspace](https://support.bluedeer.ai/team/administration/workspace-integrations.md).

## Members

Open **Members** to see everyone in the workspace, with their role and seat. Everyone can read this list.

- **Invite.** Owner and admins can tap **Invite**. See [Invite people to a workspace](https://support.bluedeer.ai/team/members-and-seats/invite-people-to-a-team.md).
- **Roles.** Only the owner can change a role, to admin or member. Tap the role next to a name.
- **Remove.** The owner can remove anyone except the owner. Admins can remove members, but not other admins. Removing someone takes away their access to the workspace. Nothing is deleted.
- **Seats.** Only the owner buys seats and chooses who holds them. See [Buy and assign seats](https://support.bluedeer.ai/team/members-and-seats/buy-and-assign-seats.md).
- **Activity.** Owner and admins can open the activity log. See [See a workspace's activity](https://support.bluedeer.ai/team/administration/workspace-activity.md).

## Catch up

Open **General**, then tap **Catch up** under **Today**. It shows the scheduled tasks that are running or coming up. Owner and admins also see the workspace changes listed there. Full details: [What is Catch up in a shared workspace, and how do I use it on the phone?](https://support.bluedeer.ai/mobile/general/catch-up-on-the-phone.md).

## Transfer ownership, leave or delete

- **Owner:** open **General**, then tap **Transfer ownership** under **Ownership**. Tap the member you want, and check **What changes**. Members whose seat isn't working right now can't be chosen. You become an admin and keep your seat. Full details: [Transfer workspace ownership](https://support.bluedeer.ai/team/administration/transfer-team-ownership.md).
- **Anyone except the owner:** open **General**, then tap **Leave workspace** under **Leave**.
- **Owner:** **Delete workspace** is also under **Ownership**. To understand what is lost, read [Leave or delete a workspace](https://support.bluedeer.ai/team/administration/leave-or-delete-a-team.md).
