# What happens to who can see a chat or task when I add it to a project?

In a shared workspace, adding a chat, file or task to a project can change who sees it. The Keep this item's current visibility box stops that, and the chat and task dialogs explain the effect before you click.

These steps are for the web app. The phone's version is at the end. Read [Who can see a project?](https://support.bluedeer.ai/bluedeer/projects-and-memory/project-visibility.md) first if you have not chosen a project's visibility yet.

## The short answer

An item added to a project normally takes the project's visibility and follows it from then on. To stop that, tick **Keep this item’s current visibility** before you add it. For a chat or a task, the dialog tells you what will happen for the choice you have made, and the text changes as you pick a different project. Files have a smaller picker with no explanation, so read the File manager section below first.

## What happens by default

- If the project is **Everyone in the workspace**, the chat, file or task becomes visible to everyone in the workspace. This happens even if only you could see it before.
- If the project is **Only me**, the item becomes visible only to you. This happens even if the workspace could see it before.
- From then on the item follows the project. If the project's visibility changes later, the item changes with it. See [Who can see a project?](https://support.bluedeer.ai/bluedeer/projects-and-memory/project-visibility.md).

For example, say you have a private chat and add it to a project that is **Everyone in the workspace**. Without the box ticked, everyone in the workspace can now see the chat. With the box ticked, the chat stays private.

## Keep this item’s current visibility

This box appears only in a shared workspace. When you tick it, the item keeps the visibility it has now. Adding it does not change who can see it, and later changes to the project's visibility do not change it either.

The box is unticked each time you open the dialog or the picker, so tick it again each time you want to keep the current visibility.

In a personal workspace there is no box and nothing changes, because everything there is private to you. The dialog for a chat or task says so.

## Moving an item to another project

If the item is already in a project, the dialog title is **Change project** and the button reads **Move to project**. The same rule applies: unless the box is ticked, the item takes the visibility of the project it moves to.

## Removing an item from a project

Removing an item does not delete it, and it does not change who can see it. It simply stops following the project. So an item that everyone could see while it was in an **Everyone in the workspace** project stays visible to everyone after you remove it. The confirmation ends with "Who can see it has not changed." For the steps, see [How do I add a chat to a project and pin it there?](https://support.bluedeer.ai/bluedeer/projects-and-memory/pin-a-chat-in-a-project.md)

## Who can add, move or remove an item

Only the person who created a chat, file or task can add it to a project, move it or remove it. This is true for workspace admins and the owner too. You also need a seat in the workspace, and the dialog and picker only offer projects you are allowed to add items to.

## Where to find the choice

- **A chat**: the steps are in [How do I add a chat to a project and pin it there?](https://support.bluedeer.ai/bluedeer/projects-and-memory/pin-a-chat-in-a-project.md). The option is **Move to project**.
- **A task**: open the task and click **Move to project** under its status. Only the person who created the task sees this button.
- **A file**: see the File manager section below.

## Files in the File manager

In the **File manager**, use **Move to project** in a file's menu, or in the bar that appears when you select files. You can select several files and move them together.

The picker for files has no line of explanation under its box. The box is labelled **Keep current visibility**, and hovering over it shows a short note: "When this is off, what you move can be seen by whoever can see the project." This is the same whether you move one file or several.

## On the phone

In a shared workspace, the **Add to project** sheet for chats and files has the same **Keep this item's current visibility** switch, with the same explanation under it. Read [Who can see a project?](https://support.bluedeer.ai/bluedeer/projects-and-memory/project-visibility.md) for what the two visibility choices mean.
